2. Job Summary
As part of a small finance team of 4 your role will consist of accounting tasks which in the main relate to the accounts payable function and credit control. You will be responsible for ensuring that the purchase and sales ledgers are maintained and up to date including approval, processing and payment of supplier invoices and recovery of monies owed on sales invoices.
Success will look like:
- Supplier invoices are processed onto system within 60 hours of receipt
- Supplier statements are reconciled weekly
- Suppliers are paid within credit terms
- Supplier queries are dealt with within 7 days of receipt of invoice
- Sales invoices are paid within agreed terms
- Debtor accounts are monitored and collection processes are followed according to schedule
3. Responsibilities and main duties of the post:
Main Duties and Responsibilities but not limited to:
- Processing COS supplier invoices/credits onto Orderwise (our ERP system) including reconciling to purchase orders or returns and price checking
- Processing overhead invoices/credits onto Sage after checking pricing and approval ensuring they are coded to the correct nominal account
- Working with the suppliers and internal teams to resolve any queries on the purchase invoices/credits
- Reconciliation of the supplier statements to our systems
- Preparing, processing and posting supplier payments in line with terms
- Collecting monies due from customers by following scheduled collection processes
- Credit checking customers
- Ensuring sales ledger is kept up to date with all activities – invoices and incoming payments plus collection notes

- 100% of non-queried invoices processed no later than 60 hours after receipt
- 100% of supplier statements reconciled within 48 hours
- 100% of approved supplier payments made within the supplier specific terms
- No supplier invoice to remain in query for longer than 7 days
- Sales invoices generated and distributed every working day
- 100% of customer receipts posted every working day
- Average Debtor Days = < 50
- Average Creditor days = > 25

4.1 Job Description

The post holder must maintain the confidentiality of information about clients and other Contego Safety business in accordance with the Code of Confidentiality and the Data Protection Act, 1998. A breach of confidentiality in relation to manual or computer data will result in disciplinary action being taken in accordance with Contego Safety`s disciplinary procedure and may lead to dismissal.
4.3 Health and Safety
